What are the raid team swap policies?

ECLIPSED Team Swap Policy

Effective Date: June 26, 2026

Purpose

Eclipsed believes that members should have the opportunity to find the raid team that best fits their schedule, progression goals, and playstyle without having to leave the guild they have helped build.

At the same time, raid teams rely on roster stability. Every departure affects progression, recruitment, and the experience of the remaining team members.

This policy exists to create a fair, transparent, and consistent process for transferring between Eclipsed raid teams while balancing the needs of individual Raiders, Raid Leads, and the guild as a whole.

The purpose of this policy is not to discourage team swaps. Rather, it is to ensure they occur respectfully, professionally, and with minimal disruption to everyone involved.

Definitions

The following definitions apply throughout this policy.

Official Notice

Official Notice begins when a Raider submits a written request to transfer teams to their current Raid Lead through a Discord direct message, Discord ticket, or another Council-approved written method.

The Notice Period begins only after the Raid Lead acknowledges receipt of the request. The timestamp of that acknowledgment becomes the official start of the Team Swap process.

Verbal conversations do not constitute Official Notice.

Notice Period

The Notice Period is the standard 14-day transition period beginning from the timestamp of the acknowledged Official Notice.

Unless an alternate agreement has been reached, Raiders are expected to continue fulfilling their responsibilities to their current team throughout the Notice Period.

All timelines referenced throughout this policy are anchored to the Official Notice timestamp.

Transition Date

The Transition Date is the agreed-upon date on which the Raider officially leaves their current raid team and joins their new raid team.

Unless otherwise agreed by all parties, the Transition Date occurs fourteen (14) days after Official Notice is acknowledged.

Completed Transfer

A transfer is considered complete when the Raider reaches their official Transition Date and becomes rostered with their new raid team.

The mandatory 30-day Team Swap Cooldown begins immediately upon completion of the transfer.

Trial status does not delay or extend the completion of a transfer.

Council

For the purposes of this policy, Council refers to the Guild Council members responsible for administering the Team Swap process.

Council is responsible for:

Ensuring the Team Swap process is followed fairly and consistently.
Mediating disputes between Raiders and Raid Leads.
Reviewing requests for policy exceptions.
Protecting the long-term health of the guild.

Council acts as a neutral body and does not advocate for either party.

Guiding Principles

Every decision made under this policy should support the following principles:

Team swaps should remain available to members acting in good faith.
Raid teams deserve reasonable time to prepare for roster changes.
Raiders deserve a fair opportunity to pursue teams that better fit their goals and availability.
Raid Leads should never use the Team Swap process as punishment or retaliation.
Raiders should never use the Team Swap process to pressure, threaten, or manipulate leadership.
Council exists to apply this policy consistently, fairly, and in the best interests of the guild.

Whenever interpretation is required, these principles should guide Council's decisions.

Anti-Poaching Policy

Raid teams within Eclipsed are expected to respect one another's rosters.

Players currently assigned to an Eclipsed raid team are not recruitment targets.

Raid Leads, officers, recruiters, and team members may not directly recruit a Raider from another Eclipsed team outside of the official Team Swap process.

If another team approaches you regarding recruitment while you are currently rostered, politely inform them that you are already committed to a team.

If recruitment continues after that point, report the interaction to a member of Council.

Likewise, Raiders may not solicit recruitment, encourage back-channel discussions, or seek informal commitments from another Eclipsed raid team before beginning the official Team Swap process.

All movement between Eclipsed raid teams must occur through this policy.

Circumventing the Team Swap Process

Raiders currently assigned to an Eclipsed raid team must not submit a Recruitment application to another Eclipsed team.

Applications submitted by current Raiders will be flagged for Council review.

Players who intentionally bypass this policy by leaving their current raid team and attempting to join another Eclipsed raid team outside of the official Team Swap process will be ineligible to join another Eclipsed raid team for 30 days from the date they leave their previous team.

This restriction exists to ensure that following the official Team Swap process is always more beneficial than attempting to avoid it.

Repeated attempts to initiate and withdraw Team Swap requests in a manner that disrupts roster planning may also be reviewed by Council and may result in delays or restrictions on future Team Swap requests.

Threatening to leave Eclipsed for another guild in order to obtain a faster Team Swap or preferential treatment will not alter or bypass this policy.

The Team Swap Policy is the only approved method for transferring between Eclipsed raid teams.

Team Swap Process

Every team swap must follow the process below. Completing each step in order ensures that all parties remain informed, expectations are clear, and both raid teams have adequate time to prepare for the transition.

Skipping or attempting to circumvent any step may result in delays, restrictions, or disciplinary action under this policy.

Step 1 — Submit Official Notice

If you wish to change raid teams, your first responsibility is to notify your current Raid Lead.

Official Notice must be submitted in writing through Discord direct message, a Discord ticket, or another Council-approved written method.

Your notice period officially begins once your Raid Lead acknowledges your request. This acknowledgment timestamp becomes the official start of your Notice Period and governs every timeline within this policy.

Verbal conversations or informal discussions do not begin the notice period.

Your written notice should clearly communicate your intent to begin the Team Swap process. While providing your reason for transferring is encouraged, it is not required.

During the Notice Period

Unless another agreement has been reached, Raiders are expected to:

Continue attending scheduled raids.
Continue performing to the best of their ability.
Maintain a respectful and professional attitude.
Continue supporting the team's progression until their Transition Date.

The standard Notice Period is 14 days beginning from the Official Notice timestamp.

Raiders who knowingly fail to meet reasonable attendance, effort, or conduct expectations during their Notice Period may lose trial privileges during that period and may be treated as having bypassed the official Team Swap process, resulting in the 30-day restriction described elsewhere in this policy.

The purpose of the Notice Period is to allow your current team sufficient time to prepare for your departure—not to create unnecessary hardship for either party.

Step 2 — Contact Council

After submitting Official Notice, the Raider must contact a member of Council.

Council's responsibilities during this stage include:

Explaining the Team Swap process.
Answering policy questions.
Reviewing available options.
Helping resolve misunderstandings.
Coordinating communication between Raid Leads.
Mediating disputes if necessary.

Speaking with Council does not obligate a Raider to complete the transfer.

However, repeated requests to initiate and withdraw swaps in a manner that disrupts roster planning may be reviewed by Council and may affect future swap requests.

Council discussions remain confidential unless Guild Management involvement becomes necessary.

Step 3 — Contact the Prospective Raid Lead

A Raider may contact a prospective Raid Lead only after Council has confirmed that Steps 1 and 2 have been completed.

Council confirmation—not player confirmation—authorizes this step.

This ensures every team swap is tracked and reviewed through the proper process.

Prospective Raid Leads should not discuss roster opportunities, schedule trials, or offer raid positions before receiving confirmation from Council.

Trial Requests

Requesting a transfer does not guarantee a trial.

Likewise, receiving a trial does not guarantee a permanent raid position.

By accepting a trial, the Raider acknowledges that:

The current Raid Lead may already be recruiting a replacement.
Returning to the previous team is not guaranteed if the trial is unsuccessful.
The prospective Raid Lead is under no obligation to offer a permanent position.

If a trial is declined, Council is available to discuss other opportunities within Eclipsed.

Raiders are encouraged to review available recruitment listings, watch raid streams, and speak with Council to determine which teams may best suit their goals.

Step 4 — Establish the Transition Date

Once a trial has been approved, the Raider, current Raid Lead, and prospective Raid Lead will establish the official Transition Date.

Unless another agreement is reached, this date will occur 14 days after Official Notice was acknowledged.

The trial process does not restart or extend the Notice Period.

All timelines remain anchored to the Official Notice timestamp.

Alternate Agreements

The standard Notice Period exists to protect roster stability, but exceptional circumstances sometimes require flexibility.

The Raider and current Raid Lead may mutually agree to an alternate Transition Date that better accommodates both parties.

Once an alternate agreement has been reached:

Both the Raider and Raid Lead are expected to honor that agreement.
Neither party may unilaterally alter the agreed timeline.
Any changes require mutual agreement or Council mediation.

Raid Leads may not indefinitely delay an approved transfer.

Likewise, Raiders may not abandon their responsibilities before the agreed Transition Date.

If the parties cannot reach a reasonable agreement, Council may mediate and determine a Transition Date that reasonably balances the needs of both raid teams and the guild as a whole.

Trial Participation During the Notice Period

Limited trial participation is intended to help prospective Raid Leads evaluate applicants without compromising the Raider's commitment to their current team.

During the Notice Period, Raiders may participate in up to one scheduled raid per weekly reset with their prospective team on a designated trial character, provided that:

It does not conflict with scheduled raids for their current team.
They continue meeting all attendance expectations with their current team.
Trial participation does not interfere with their existing raid responsibilities.

Trial participation is a privilege—not an entitlement—and may be suspended by Council if the Raider fails to uphold the expectations outlined in this policy.

A Raid Lead's decision to bench or roster a departing player does not determine whether limited trial participation is permitted.

Good Faith Throughout the Process

The Team Swap process relies on honest communication and mutual respect.

Raiders are expected to communicate openly with leadership, while Raid Leads are expected to manage roster transitions professionally and without retaliation.

Neither party should attempt to manipulate timelines, exploit procedural technicalities, or use the Team Swap process as leverage during disagreements.

Council may review conduct that appears inconsistent with the purpose of this policy and take reasonable action to preserve fairness, roster stability, and the health of the Eclipsed community.

Rights, Responsibilities & Enforcement

The success of the Team Swap Policy depends on every participant acting in good faith. Raiders, Raid Leads, and Council each have responsibilities that help ensure transfers are handled fairly and with respect for everyone involved.

Expectations of the Raider

Raiders requesting a team swap remain full members of their current raid team until their official Transition Date.

During the Notice Period, Raiders are expected to:

Attend scheduled raids unless otherwise agreed upon.
Perform to the best of their ability.
Maintain a positive, respectful, and professional attitude.
Continue supporting the team's progression and goals.
Communicate promptly if circumstances change.

Submitting a team swap request does not release a Raider from their commitment to their current team.

Failure to maintain reasonable attendance, effort, or conduct during the Notice Period may result in:

Suspension of trial privileges during the Notice Period.
A determination by Council that the Raider has failed to comply with the Team Swap process.
Application of the 30-day restriction for non-compliance.

Raiders may not:

Pressure leadership by threatening to leave Eclipsed or another raid team.
Use team swaps as leverage during disagreements.
Solicit recruitment or back-channel discussions with other Eclipsed teams outside of the official process.
Misrepresent conversations with Council or Raid Leads.
Attempt to exploit procedural loopholes for personal advantage.

Expectations of the Raid Lead

Raid Leads are expected to manage team swaps professionally while balancing the needs of both their team and the Raider.

During the Notice Period, Raid Leads should:

Begin planning for a replacement.
Communicate clearly with the departing Raider.
Work cooperatively with Council and the prospective Raid Lead.
Honor agreed-upon Transition Dates unless all parties agree to a change.

Raid Leads are not required to:

Guarantee raid spots every scheduled raid.
Bring a departing Raider to progression kills.
Delay recruiting or evaluating replacements.
Guarantee a return to the roster if a trial elsewhere is unsuccessful.

Raid Leads may make reasonable roster and loot decisions based on progression, roster stability, attendance, and the long-term interests of their team.

However, Raid Leads may not:

Remove or reduce a Raider's loot eligibility solely because they requested a team swap.
Retaliate against a Raider for initiating the Team Swap process.
Intentionally obstruct or indefinitely delay an approved transfer.
Use the Team Swap process as punishment.

Council will evaluate disputes based on the overall conduct of both parties rather than attempting to determine personal motives.

Responsibilities of Council

Council serves as the neutral administrator of the Team Swap Policy.

Council is responsible for:

Confirming completion of the Team Swap process before Step 3 begins.
Mediating disputes when requested.
Protecting the long-term health of Eclipsed.
Applying this policy consistently and fairly.
Reviewing requests for policy exceptions.
Enforcing restrictions when the process is bypassed or abused.

Council may request information from all parties before reaching a decision.

Council decisions should always prioritize fairness, transparency, roster stability, and the health of the guild over the interests of any single individual or raid team.

Conflicts of Interest

Council members who have a direct personal interest in a team swap—including serving as the Raider's Raid Lead, prospective Raid Lead, or otherwise having a significant personal stake in the outcome—must recuse themselves from mediation or exception decisions relating to that case.

When necessary, Guild Management or another impartial Council member will assume responsibility.

Swap Cooldown

Upon completion of a team transfer, a mandatory 30-day cooldown begins.

During this period, a Raider may not request another transfer to a different Eclipsed raid team.

This restriction exists to:

Promote roster stability.
Discourage repeated movement between teams.
Allow both the Raider and their new team adequate time to evaluate the fit.

Exceptions may be granted only with the approval of the Raider's current Raid Lead and Council.

Policy Exceptions

Council recognizes that exceptional situations occasionally occur.

Examples of mitigating circumstances may include:

Significant work or school schedule changes.
Medical or family emergencies.
Team dissolution.
Major roster restructuring.
Other comparable circumstances that substantially affect a Raider's ability to continue with their current team.

Approval of an exception is not automatic.

Whenever an exception is granted, Council will document the decision and the reason for the exception to ensure consistency and accountability.

Good Faith Requirement

This policy is intended to facilitate fair team movement—not to create technical advantages or procedural loopholes.

Any Raider, Raid Lead, or other guild member who intentionally attempts to manipulate the timing, wording, or application of this policy in a manner inconsistent with its purpose may have the matter reviewed by Council.

Council reserves the authority to make reasonable decisions that uphold both the letter and the spirit of this policy while ensuring fairness for all parties.

Final Statement

The Team Swap Policy exists to support both individual Raiders and the long-term success of every Eclipsed raid team.

No policy can anticipate every unique situation. Success ultimately depends on honest communication, professionalism, and mutual respect between Raiders, Raid Leads, and Council.

Whether you are joining a new team, saying goodbye to an old one, recruiting a replacement, or helping mediate the process, remember that our shared goal is to build a guild where members can continue growing together for years to come.
